Job Summary
The Sonoma State University Student Health Center (SHC) and Counseling & Psychological Services (CAPS) are rewarding, vibrant, collaborative, and student-centered campus health service departments that support the well-being and academic success of SSU students. The SHC is a nationally accredited primary care clinic offering medical services, including preventative care, health education, and sexual and reproductive health care, including the provision of medication abortion services. CAPS offers a wide range of psychological and counseling services, including individual, relational, and group therapy; consultative services; training; mental health outreach; and well-being programming. Together, these departments work to foster holistic student health through an integrated model of care.
Reporting to the Senior Director of Counseling and Psychological Services and the Student Health Center (Sr. Director), with lead direction from the Associate Director of Counseling & Psychological Services and the Associate Director of the Student Health Center, the Counseling Center and Student Health Center Analyst performs varied administrative, technical, and analytical duties that support the operational needs of both CAPS and the SHC. The role is essential in ensuring that both clinics function efficiently, ethically, and in compliance with applicable policies, procedures, and standards. The incumbent serves as a liaison and central resource for students, staff, and external stakeholders on diverse and complex matters of policy, procedure, and practice by providing information, historical background, and rationales. The incumbent supports front-line operations, performs tasks of limited to moderate complexity, and is expected to use independent judgment to make decisions within guidelines provided; interpret and apply department, division, campus, and system-wide policies and procedures; perform research and data analysis; manage sensitive and confidential information, including medical and psychological records, in compliance with HIPAA, FERPA, state law, ethical codes, and CSU confidentiality requirements; and provide lead office support to ensure smooth daily operations across both departments. Assignments require the handling of multiple work priorities, flexibility, initiative in identifying opportunities to enhance processes and services, and accountability for one’s own work results and appropriate use of time. Contacts involve interaction with all levels inside and outside the university and include interacting with distressed students and constituents, and assisting in the management of crisis situations.
Key Qualifications
This position requires a bachelor’s degree and/or the equivalent training and administrative work experience involving study, analysis, and evaluation of operations, leading to the development and improvement of administrative policies, procedures, or programs. Working knowledge of accounting, procurement, and budget policies and procedures is preferred. Experience in a health or counseling services environment is highly desirable. The position requires intermediate proficiency with computers and Microsoft Office Suite (Word, Excel), as well as fluency with Google Workspace tools, including Docs, Sheets, and Calendar. Familiarity with the CSU’s suite of administrative systems, particularly knowledge of Drupal, Qualtrics, P2P, and PeopleSoft, is preferred. The incumbent must be able to learn new technology systems such as Titanium and Point and Click (electronic scheduling and record-keeping systems for psychological and medical records).
The incumbent must possess strong interpersonal and communication skills, both oral and written, with a thorough command of English grammar, spelling, and punctuation. Critical thinking and problem-solving abilities are essential, along with attention to detail and the capacity to perform basic mathematical calculations accurately. The position also requires the ability to apply knowledge of appointment scheduling, triage protocols, psychological and medical records management, psychological and medical ethics, confidentiality, and risk management principles. The analyst must be capable of managing multiple, shifting priorities in a high-volume clinic environment that often involves intense public contact. It is essential that the incumbent respond calmly, empathically, and professionally to emotionally distressed students and urgent situations, maintaining composure in the face of inappropriate language or behavior, and advocate assertively for the needs of CAPS and the SHC with internal and external parties. The incumbent must be able to escalate issues as appropriate and deal effectively with emotionally distressed students and urgent counseling situations in a calm, empathic, professional, and efficient manner. It is essential that the incumbent demonstrate a high level of discretion and the ability to maintain strict confidentiality in accordance with FERPA, HIPAA, state laws, professional ethics, and CSU privacy regulations. The incumbent must be able to provide outstanding customer service and establish and maintain positive, productive, effective, and inclusive working relationships amongst diverse populations including staff, faculty, administration, students, and other internal and external constituents. Must be able to accept constructive feedback, work well both independently and cooperatively, accept and integrate constructive feedback, demonstrate initiative, and contribute to a collaborative, dynamic team environment.
Salary and Benefits
Starting salary placement depends on qualifications and experience and is anticipated to be in the range of $3,879 to $4,167 a month. This is a full time, non-exempt position, which will lead toward permanent status following the successful completion of a probationary period.
This position is eligible for a broad range of benefits, including medical, dental, vision, life and disability insurances, retirement (CalPERS), tuition waiver, vacation and sick leave. In addition, 15 paid holidays are offered each year. Sonoma State University is also a Public Service Loan Forgiveness Program (PSLF) Employer.
